How Group Cruise Planning Works

Initial Consultation (Free)

We discuss your group size, preferred dates, budget, and event type. I’ll explain group pricing, perks, and recommend ships/itineraries that fit your needs. No commitment yet—just exploring options.

Hold Your Group Space

I reserve a block of cabins with a small deposit (typically $100-250 per cabin). This holds your space while you confirm guest counts. No penalty if you need to reduce the number of cabins.

Invite Your Guests

I provide you with booking information and group code. Guests book individually under the group (pays their own way) or you collect payments—your choice. I track all bookings centrally.

Coordinate Details

As your group grows, I coordinate cabin locations, dining arrangements, special requests, group excursions, and any celebrations you want onboard. You get regular updates on who’s booked.

Final Payments & Prep

90 days before sailing, final payments are due (I remind everyone). I help your group complete online check-in, answer questions, and provide pre-cruise planning support.

Embarkation & Enjoyment!

Your group meets at the port, boards together, and enjoys an incredible week. I’m available via phone/email if any issues arise during the cruise (though they rarely do).

💡 Jerry’s Group Planning Tips

Book Early: 12-18 months ahead for best pricing and cabin availability, especially for weddings and large groups.

Set Clear Expectations: Communicate payment deadlines, cancellation policies, and what’s included vs. extra cost to all guests upfront.

Don’t Over-Program: You don’t need to plan every minute together. Give your group freedom to explore ports independently or join group activities—their choice.

Appoint a Cruise Coordinator: Have one person (besides the organizer) help wrangle the group for meet-ups, group photos, and activities. Makes everything smoother.

Create a Facebook Group: Private group for your cruise lets everyone share excitement, coordinate outfits for formal night, plan port days together, etc.

Group Cruise FAQs

How many cabins do I need to qualify for group rates?
Typically 8 cabins (16 people) is the minimum for group pricing and perks. Some promotions start at 6 cabins. Larger groups (16+ cabins) get even better rates and more free cabins.
Do all my guests have to pay at once?
No! Each guest can make their own deposit and payments. I track everything centrally. Or you can collect money and pay as the organizer—totally up to you. Payment deadlines are typically 90 days before sailing.
What if some people cancel?
Individual cancellations follow standard Carnival policies (penalties based on timing). The group isn’t penalized if you don’t fill all reserved cabins—you just don’t get the free cabin/credit for unfilled spots. That’s why we start with a conservative estimate.
Can we have a private area for our group?
For large groups, you can arrange private cocktail parties, reserved dining areas, or group shore excursions. The ship can also accommodate group meetings or celebrations in designated spaces (may have fees for some venues).
How far in advance should I book a group cruise?
12-18 months ahead is ideal for groups over 20 cabins or specific dates (holidays, wedding dates). Smaller groups can book 6-12 months out and still get good availability. Earlier = better cabin selection and pricing.
Do you charge extra to organize a group cruise?
No! My service is free to you. I’m compensated by Carnival through commission, just like individual bookings. Group coordination is part of my service—no hidden fees, no extra charges to your group.
Can we choose our own cabins or are they assigned?
Guests can request specific cabin categories (interior, oceanview, balcony, suite). I coordinate to get everyone cabins near each other when possible. Early bookers get first pick of specific cabin numbers.
What happens to the free cabins we earn?
You decide! Use them for the organizer, the guest of honor, a contest/raffle, or distribute the value as onboard credits to all guests. Most organizers use at least one free cabin for themselves as compensation for coordinating.
